Overdue

Sees the whole queue and gives the second approval where the community requires one.

  • Know what’s next

Tasks, deadlines, approvals, and overdue items in one queue.

  • Roles that fit

Permissions follow responsibilities, not titles alone.

  • Records that last

Rosters, minutes, and decisions with effective dates.

The right access.
For every seat.

Assign administrators, presidents, secretaries, treasurers, and board members, plus designations like account owner and billing administrator. Sensitive actions need explicit authority, and some need a second approval.

  • Roles for residents, boards, management companies, and HOAhx staff
  • Designations such as account owner, billing administrator, and backup contact
  • Role effective dates and committee assignments
  • Explicit authority for publishing, refunds, certification, and transfers
  • Dual review where your community requires it
  • Administration of homes, residents, finances, requests, documents, messages, amenities, events, surveys, votes, and parking, by permission

A board title doesn’t automatically grant unrestricted financial access, private contact access, subscription ownership, or administrative authority.

  • Authorized operational reporting

From your spreadsheet.
Reviewed before it’s real.

Upload the CSV or Excel file you already keep. HOAhx suggests how your columns map to its fields, flags anything that looks off, and waits for your approval before a single home is imported.

  • Import properties, owners, occupants, and opening balances
  • AI-assisted column mapping, import previews, and duplicate detection
  • Missing-data review and balance reconciliation before approval
  • Import history and a safe way to correct mistakes
  • Resident invitations, verification, and activation tracking

Your subscription.
Clearly in hand.

The account owner controls the community’s HOAhx subscription, from the free trial to invoices and renewal notices, with subscription billing kept completely separate from homeowner payments.

  • A 30-day free trial with no payment card, and authorized extensions with a recorded reason
  • Guided setup and acceptance of the applicable terms
  • Monthly pricing by home count, with purchase confirmations, invoices, and renewal notices
  • A clear account status from trial to active, past due, read-only, suspended, or canceled, with reactivation
  • Account owner, billing administrator, and backup contact roles
  • Cancellation controls, account-owner transfer, and data export, retention, and deletion under the approved policy
  • Subscription billing kept separate from homeowner HOA payments

The right view
for every role.

Everyone sees what their role allows, and your community decides who can do what.

  • Boards

Work from one queue, approve what needs approval, and keep every decision on the record.

  • Account owners

Control the subscription, assign billing roles, and hand off when the board changes.

  • Management companies

Assign staff to communities, share templates, and report across the portfolio.

Does a board title give someone full access?
No. Access follows the permissions your community sets. A board title doesn’t automatically grant unrestricted financial access, private contact access, subscription ownership, or administrative authority.
Can a management company see every community?
Only the communities assigned to it. Company admins assign their staff community by community.
What happens when our board changes?
Roles have effective dates, records stay with the community, and the account owner can hand the subscription to the next person through an authorized transfer.
How do we bring our records over?
Start from your spreadsheet. HOAhx suggests how your columns map, flags anything that looks off, and imports only after you approve. See how getting started works.
