From spreadsheet
to launch day.

Every community starts with a 30-day free trial and the records it already keeps. Here’s how HOAhx takes you from your spreadsheet to every home invited.

Eight steps.
Reviewed at every one.

Nothing goes live until you approve it, and everything you set up during the trial carries over when your association subscribes.

  1. Start your free trial

Every community starts with 30 days of HOAhx, with no payment card. Nothing is charged when the trial ends unless your association chooses to subscribe.

  2. Set up your community

Add your community profile and branding, choose an account owner and a backup contact, and set up your board.

    • Community profile and branding
    • Account owner, backup contact, and board roles
  3. Bring in your spreadsheet

Upload the CSV or Excel file you already keep. HOAhx suggests how your columns map to its fields and flags anything that doesn’t look right.

    • Properties, owners, occupants, and opening balances
    • AI-assisted mapping, import previews, and duplicate detection
    • Missing-data review and balance reconciliation
    • Your approval before anything is imported, with a history you can correct
  4. Add documents and assessments

Upload your governing documents, set up assessments, and connect the account homeowner payments will settle to.

    • Governing documents and community records
    • Assessment schedules, due dates, and approved late-fee rules
    • The association’s own payment account
  5. Share your monthly statements

Upload each month’s financial statement, and homeowners see budgeted against actual spending in their dashboard, with the detailed reports kept beside it.

  6. Preview the homeowner experience

Turn on the features your community will use, then see HOAhx exactly as a homeowner will.

  7. Invite every home

Send invitations, verify residents, match them to their properties, and track who has joined. Residents set their preferences and can turn on autopay.

    • Invitations, verification, and property matching
    • Activation tracking
    • Preferences and optional autopay
  8. Approve your launch

When everything looks right, give the final approval and open HOAhx to your community.

Monthly statements.
Budget against actual.

Your approved budget shows where the money is meant to go. Each month, your board uploads its financial statement, and HOAhx pulls it into the financial dashboard so every homeowner can compare budgeted and actual spending, with the full reports still a tap away.

Something else on your mind? Visit the help center.

Do we need to clean up our spreadsheet first?
Not necessarily. HOAhx flags possible duplicates, missing information, and balances that don’t match, so you can fix them while you review the import.
Is anything imported automatically?
No. HOAhx suggests how your columns match its fields and shows a preview, but nothing is imported until an admin reviews and approves it.
Can we fix a mistake after importing?
Yes. Every import keeps its history, and corrections follow a safe process instead of quietly changing records.
Do residents have to find HOAhx on their own?
No. Your community invites them. HOAhx matches each person to their property, verifies them, and tracks who has joined.
What happens to our setup after the trial?
It carries over. When your association subscribes, everything you set up during the trial stays in place.
