Pricing and the free trial

Do residents pay separately?
No. Your association’s subscription covers every homeowner and resident, so no one pays for HOAhx on their own. The only charge a homeowner sees is a payment processing fee, added at checkout when they pay dues online.
Do we need a card to start the trial?
No. Every community can try HOAhx free for 30 days without a credit card or any other payment method.
What happens after the 30-day trial?
Nothing is charged automatically. When your board is ready, your association subscribes at your community’s monthly price, and everything you set up during the trial carries over.
How does pricing work for management companies?
Each community you manage is priced by its own number of homes, on the same tiers. Tell us about them and we’ll put together pricing for your portfolio.
Where do homeowner payments go?
To your association. Homeowner payments are deposited to your association’s own account. HOAhx provides the software, not the bank account.
Who manages our subscription?
Your community’s account owner controls the subscription, a billing administrator can manage payment details and invoices, and a backup contact can request an account-owner transfer.
What happens if we decide to leave?
Your records are yours. If you cancel, you can export your community’s records.

Getting started

Do we need to clean up our spreadsheet first?
Not necessarily. HOAhx flags possible duplicates, missing information, and balances that don’t match, so you can fix them while you review the import.
Is anything imported automatically?
No. HOAhx suggests how your columns match its fields and shows a preview, but nothing is imported until an admin reviews and approves it.
Can we fix a mistake after importing?
Yes. Every import keeps its history, and corrections follow a safe process instead of quietly changing records.
Do residents have to find HOAhx on their own?
No. Your community invites them. HOAhx matches each person to their property, verifies them, and tracks who has joined.
What happens to our setup after the trial?
It carries over. When your association subscribes, everything you set up during the trial stays in place.

Payments and finances

Is there a fee when a homeowner pays online?
A payment processing fee is added at checkout when a homeowner pays online, and it’s shown before they confirm. It isn’t part of your association’s subscription.
Can homeowners see how the budget compares with actual spending?
Yes. When your board uploads its monthly financial statements, homeowners see budgeted and actual amounts side by side, with the reporting period, the update date, and the detailed reports.
Does HOAhx replace our accounting software?
No. HOAhx keeps your community’s operational financial records, from assessments and payments to adjustments, statements, and exports, and hands off cleanly to your bookkeeper or accountant. It isn’t a full general-ledger accounting system.
Can homeowners pay with Apple Pay or Google Pay?
Not yet. Apple Pay and Google Pay are planned once provider support and device testing are confirmed. Homeowners can pay by bank transfer or card.

Homeowners and residents

Do homeowners pay for HOAhx?
No. Your association subscribes once, and every homeowner, resident, board member, and manager is included. When a homeowner pays dues online, a payment processing fee is added at checkout.
I’m a tenant. What can I use?
Community notices, maintenance requests, amenities, the directory, parking, and visitor passes for your home. Owner balances, ownership votes, and private owner and board documents aren’t included by default.
Who do I contact about my dues or account?
Your board or community manager handles dues, requests, and account questions, so they’re the best place to start.
How do I get access?
Your community invites you. Your board or manager verifies your home, and you’ll get an invitation to join.
What can tenants see?
Tenants can use community notices, maintenance requests, amenities, parking, and visitor passes for their home. By default they don’t see owner balances, ownership votes, or private owner and board documents.
Can one person own several homes?
Yes. One account can connect to several properties, each with its own permissions, records, and clearly labeled alerts.
What happens to a home’s history when it’s sold?
The history stays with the home. The former owner’s access ends at the confirmed handoff, and their private records stay protected.
Are assistance-animal documents private?
Yes. Access to assistance-animal documentation is restricted to the people who need it.

Boards and management companies

Can we try HOAhx before we decide?
Yes. Every community can try HOAhx free for 30 days without a payment method, and nothing is charged automatically when the trial ends.
What if we already work with a management company?
Your manager can work in HOAhx with access assigned to your community, handling the tasks your board delegates, while approvals stay with the board.
Who controls our subscription?
Your community’s account owner. A billing administrator can manage payment details and invoices, and a backup contact can request an account-owner transfer if the board changes.
Does a board title give someone full access?
No. Access follows the permissions your community sets. A board title doesn’t automatically grant unrestricted financial access, private contact access, subscription ownership, or administrative authority.
Can a management company see every community?
Only the communities assigned to it. Company admins assign their staff community by community.
What happens when our board changes?
Roles have effective dates, records stay with the community, and the account owner can hand the subscription to the next person through an authorized transfer.
How do we bring our records over?
Start from your spreadsheet. HOAhx suggests how your columns map, flags anything that looks off, and imports only after you approve. See how getting started works.
Can my staff see every community?
Only the communities assigned to them. Company admins assign staff community by community.
Who approves refunds and assessments?
The board, unless it has explicitly delegated a task to you. Sensitive actions need explicit authority, and some need a second approval.
How do we move several communities over?
One community at a time, starting from each one’s spreadsheet. Every import is reviewed and approved before anything goes live.

Communication and community life

Can we message just one street or group?
Yes. Target announcements by community, role, property, or group, so only the homes affected hear about it.
Do you send text messages?
Not yet. Text messages and push notifications are planned once provider and device setup are tested. HOAhx sends in-app notifications and email.
How are formal votes kept fair?
Each vote checks eligibility, counts one vote per home even with co-owners, tracks quorum, and keeps secret-ballot choices apart from the record of who took part. Results are published after they’re certified.
Can residents choose how they hear from us?
Yes. Each resident sets their communication preferences, consent, opt-outs, and quiet hours.
Can residents see internal notes?
No. Internal notes stay with the board and the people working the request. Residents see the updates you choose to share.
Does HOAhx Copilot approve architectural requests?
No. Copilot can point applicants and reviewers to the guidelines that apply, but people make every decision. It can’t approve or deny an application.
Can a homeowner dispute a violation?
Yes. Homeowners can respond, send a correction photo, dispute the notice, or ask for a hearing, following your community’s procedures.
What happens after hours?
Residents see your community’s emergency and after-hours contact guidance when they report a problem, so urgent issues reach the right people.
Can two residents book the same time?
No. HOAhx prevents conflicting reservations and overbooking, so an amenity is never double-booked.
Does HOAhx open our gate?
Not yet. Physical gate integration isn’t part of the first release. Residents can send visitor passes, and gate information is shared only with the people allowed to see it.
Can we charge a booking fee or deposit?
Booking fees and deposits are planned once the payment, cancellation, and refund steps have been fully tested.
Who can see my phone number in the directory?
You decide. Phone and email have separate privacy settings, and tenant and dependent information is protected.
Can we keep board documents private?
Yes. Documents are separated into community, property or household, and confidential board documents, each with its own permissions.
What does an e-signature record?
The signer’s identity, their stated intent, the timestamp, the exact document version, a signed copy, and the evidence history.
Can residents search our CC&Rs?
Yes. Governing documents are searchable, and HOAhx Copilot can answer questions from them with citations to the exact section.

Security, privacy, and AI

Can HOAhx staff see our community’s data?
Only with your community’s authorization, for a recorded reason, scope, and length of time. Access is visible while it lasts, ends on its own, and can be revoked at any time.
Is multifactor authentication required?
It’s required for administrators, staff, and financial roles, and optional for homeowners. Passkeys, authenticator or text codes, and recovery codes are supported.
Can someone quietly change financial history?
No. Corrections are recorded as new entries with reasons, and the protected audit history can’t be edited or deleted through ordinary use.
Are secret-ballot choices ever logged?
No. Logs never include secret-ballot choices, raw credentials, or complete payment details, and participation records are kept apart from ballot choices.
Where do Copilot’s answers come from?
From your community’s approved documents and the records the person asking is authorized to see. Each answer cites its source.
Can Copilot make decisions for our board?
No. It can’t make payments, issue fines, change access, cast votes, or approve or deny architectural requests. People make every decision.
What happens when Copilot doesn’t know?
It says so and hands the question to a person, instead of guessing.
